Event invitations with RSVP and approval

Event invitation software for guest lists that are not public. One personal link per guest, approval before the ticket goes out, companions, declines recorded on both sides, and reminders from your own sender address.

Why a shared sign-up link is not an invitation

A public form is fine for a lecture. It is not fine for a reception, a board dinner or a client evening where you decide who comes. The link gets forwarded, the list fills with names you never invited, and the only way to say no is a mail written by hand.

RSVP software should know who was asked, who answered, who said no and who has not replied at all. Mission Support keeps all of that on one guest list: invited, pending, confirmed, declined, cancelled. Every state has a mail and an action behind it, so nothing lives in a spreadsheet next to the tool.

Invitation-only event registration also has to work for guests who never open a form. A name on the list is enough. The link can be sent by mail, pasted into a message or handed over in person.

How personal invitations work

  1. 1

    Pick the access mode

Under Registration form → Access you choose who gets in: Open (anyone with the event link registers), Personal links (one link per guest, you add the guests) or Walk-in only (no online registration, you add guests yourself). Guest approval is a separate switch under Details, so even an open event can wait for your yes.

  2. 2

    Add guests, one or many

Guests → Invite guests takes a single name or email, a pasted list, or a CSV, TSV or Excel file. Columns are mapped to your form fields, the first rows are shown as a preview, and rows with a broken or duplicate email are skipped. Everyone else is created as invited.

  3. 3

    Send the invitations

One click sends the invitation mail to every invited guest who has not received one yet, each with their own link. Guests without an email get a link you copy and hand over. Subject, text and button label are yours, edited per event with a live preview and a test send to your own inbox.

  4. 4

    Guests answer, you approve

The link opens a form prefilled with what you know about the guest. With approval on, the registration waits as pending and the guest gets a "registration received" mail. You approve or decline from the guest list and the ticket or the decline mail goes out. With "Confirm immediately" the ticket goes out at once.

One link per guest, not one link for everyone

Every invited guest gets a link of the form your-address/i/<token>. The token is a random id that belongs to exactly one invitation. Forwarding it does not create a second seat: the page shows one registration and its state, nothing more. You can lock the link to the invited email address so nobody registers under a different one, and you can copy or resend the link from the guest list at any time.

Invitations work in every access mode. On an open event an invited guest still gets a personal, prefilled link, while everyone else registers through the event page. On a Personal links event the event page shows no form at all.

Guest approval before the ticket

"Require approval" is one switch per event. A registration then arrives as pending, the guest gets a "registration received" mail with their reference code, and nothing else. Pending guests sit under their own filter in the guest list. Approve sends the ticket, as a QR ticket or a plain confirmation. Decline sends your decline text, if the event has decline mails on, and moves the guest to Declined.

The invitation page follows the decision. A declined guest who opens their link again sees that the registration was not confirmed, not the form. Each guest keeps a history of what was sent and when, so a second admin can see what happened.

Declines are recorded on both sides

Guest side: "Guests may decline via their link" shows an "I can't come" option on the invitation page. A decline is recorded as cancelled with the time, and the page says so if the guest opens it again. If your form has an RSVP field, a "no" is stored as well and can trigger a short confirmation mail you write yourself.

Organiser side: Decline from the guest list, with the decline text set per event. Declined and cancelled guests stay on the list with their status, so a campaign or a reminder never reaches them by accident. A filter shows who has not responded at all, which is the list you chase.

Companions

The registration form has a companions element: "Are you bringing someone?" and "How many?", up to five per guest. You decide what each companion is asked for, a name or a name and an email. With an email, every companion gets their own ticket and their own mails, so the door scanner sees each person. Companions take seats of the event capacity like any other guest.

Reminders and campaigns from your own address

A reminder is set under Details as hours before the event and goes out automatically. Campaigns go to the guest list of one event, filtered by status: invited, pending, confirmed, checked in, declined, cancelled or no-show. Every campaign carries a legal footer and an unsubscribe link.

Both use your sender addresses: any name before the @ of a verified sender domain, with a display name and a reply-to. You pick the address per invitation, per campaign and per event mail; a named sender adds a signature under the text. Without a sender address of your own, mails go out from a noreply address.

Every mail text is yours, per event

Under Guest mails you edit the invitation, the decline, the RSVP decline and the cancellation text, plus the four lifecycle mails: registration received, confirmation with ticket, approved and reminder. Subject, heading and body are editable, with placeholders for first name, last name, event, organiser, date, venue and reference code. Plain text on every plan, rich text and HTML on Pro.

The shell of the mail, with reference code, QR code, ticket button and calendar links, is added under your text automatically. Guests get the platform texts in their own language, English, German or French, wherever you have not written your own.

What you need on which plan

Personal links, "Guests may decline via their link" and the decline mails are Pro features: €149 per month or €1,490 per year, excl. VAT. The single event pass gives one event the Pro features for €199 one-off, up to 500 guests, on any plan. "Require approval" is a switch on every event, whatever the plan.

Open registration and walk-in only work on Free, with 100 guests per event. Companions, reminders, campaigns, calendar links and your own event address start with Plus: €49 per month or €490 per year. Your own sender domain with sender addresses, rich mail bodies and white label are Pro.

The trial gives you 14 days of Pro with no card, one live event and one admin. Afterwards the workspace stays on Free with its data.

Questions about invitations

Can a guest forward their invitation link?

They can, but the link still belongs to one invitation. Whoever opens it sees that one registration and its state; there is no second seat. If you lock the link to the invited email address, the form cannot be submitted under another one either.

Can I invite guests who have no email address?

Yes. A name is enough to create the invitation. The guest list shows the personal link next to such guests, and you copy it into a message or print it. The guest opens the same page as everyone else.

What happens when a guest declines?

The registration is recorded as cancelled with the time, and the invitation page says so when the guest opens it again. The guest moves out of the invited and pending filters and is not reached by reminders. You see the decline on the guest list immediately.

Do I need Pro for every event with personal invitations?

Personal links are a Pro feature. If you run one invitation-only event a year, the single event pass gives that event the Pro features for €199 one-off, up to 500 guests, while the workspace stays on Free or Plus.

Can guests bring a plus-one?

Yes, with the companions element in the registration form, from Plus. You set how many companions a guest may bring, up to five, and whether each is asked for a name or for a name and an email. With an email, each companion gets their own ticket.
